This Privacy Policy and the Terms of Use work together to govern your interaction with Oscar Associates (Americas) LLC (DBA: Oscar Recruit).

Our website includes an AI-powered chat assistant (“Adam”) that can answer questions, search our live vacancies and pass enquiries to our consultants. If you choose to use it, we may collect:

• Your name, email address and phone number (where you ask us to contact you or to speak to a consultant)
• The content of the messages you send to the assistant

We do not ask for special category data through the chat assistant, and you should not share sensitive information (such as health, ethnicity or financial details) with it.

Our website chat assistant (“Adam”) helps you find information, search our live vacancies and get in touch with our consultants.

The messages you send to the assistant are processed by a third-party artificial intelligence provider, Anthropic, in order to generate responses. Anthropic processes this data on our behalf and does not use it to train its models.

The assistant is automated, but it does not make any decision about you that produces legal or similarly significant effects. Any follow-up is handled by a member of the Oscar team.

Where you ask to be contacted or to speak to a consultant, we collect your name, email address and phone number so that we can respond. We process this information on the basis of our legitimate interests in responding to your enquiry and providing our recruitment services, and, where you provide your details, in order to take steps at your request prior to entering into a contract.

The providers that operate our website chat assistant, who act as our processors on our instruction:

• Anthropic (provides the artificial intelligence that generates the assistant’s replies)
• Microsoft (notifies our team of enquiries through Microsoft Teams)
• Vercel and Upstash (host the chat service and briefly store conversations)

We have Data Processing Agreements in place with each of the providers that operate our chat assistant, forming part of our agreements with them, which set out their obligation to protect your data and only process it on our instruction.

Some of the providers that operate our website chat assistant are located outside the UK, including in the United States (for example, our artificial intelligence provider, Anthropic, and our hosting providers). Where your personal data is transferred outside the UK, we make sure an appropriate safeguard is in place. Our Data Processing Agreements with these providers incorporate the relevant transfer mechanism — the UK International Data Transfer Agreement (IDTA) or the UK Addendum to the EU Standard Contractual Clauses — or, where applicable, we rely on the provider’s certification under the UK Extension to the EU–US Data Privacy Framework. Conversations with our website chat assistant are automatically deleted from the chat system within 24 hours. Where you provide your contact details or ask to be contacted, those details are retained in line with the candidate and client retention period set out above.
